Job Description:
This position provides clerical services to the Office of Disability Services which includes but is not limited to; receptionist duties, general office functioning, data collection, entry and reporting as well as fiscal and budgetary support.
The Clerk III will support Assistive Technology Lab activities, schedule appointments and provide customer service in person, via email and on the phone.
They will assist students seeking accommodations with appropriate paperwork and guidance for registration.
They will serve as the first point of contact for the office and be prepared to answer questions from school districts, prospective students as well as current students, faculty, staff and stakeholders.

DUTIES AND
Responsibilities:
General Office Support:
Serve as receptionist greeting visitors, replying to emails, telephone calls and providing information to current and prospective students seeking accommodations.
Prepare correspondence, schedule meetings, track information from the dropbox, databases and office files for in-person and virtual services.
Schedule appointments for students with the appropriate ODS counselor or specialist once proper documentation is received.
Remind students of appointments and obligation to submit accommodation plans.
Create & maintain an Emergency Evacuation List for ODS students on campus each semester.
Support training, supervising and monitoring work-study students.
Assist with Spanish translation when documents or appointments are conducted in Spanish by translating if bilingual, or securing translation support.
Assist the Accommodations Specialist with identifying and scheduling interpreters.
Support the Assistive Technology (AT) Specialist with:
Scheduling testing appointments, monitoring and/or processing exam results.
Scanning written materials, updating the electronic library.
Conducting student groups/individual sessions on use of AT products or software.
Maintain and order office supplies, ensure office copiers and equipment are functioning properly.
Provide assistance to ODS team on use of software and programs such as Microsoft Office 365.
Promote ODS services at STCC activities/events as requested by ODS team and approved by the Director of Compliance.
Maintain the ODS website and publications and update as necessary.
Data Collection, Entry and Reporting:
Collect, maintain and track documentation of ODS services provided.
Update counselor and specialist logs of student contact on a weekly basis.
Scan department paperwork into Perceptive Content and link paperwork on same system.
Run queries and maintain monthly and/or quarterly reports for the office as required.
Fiscal Support Management:
Support Assistive Technology Specialist with AT Lab inventory, purchases and use.
Assist Accommodations Specialist with submitting interpreter invoices for payment.
Create and maintain an inventory of office supplies, determine ODS usage and order supplies as needed.
Monitor ODS budget expenses, encumbrances, balances and receipts.
Assist the Director of Compliance with annual budget preparation.
Job Requirements:
High school diploma (Associates degree or higher is preferred).
Two (2) years of full time or equivalent part-time in office setting and procedures.
Strong computer, data collection, data entry and reporting skills.
Excellent oral, written and customer service skills.
Organized, self-motivated and able to multi-task and prioritize work.
Ability to maintain strict confidentiality of all student records.
Professional, dependable and a team player.
Experience and appreciation for diverse and inclusive community.
Bilingual/Multilingual-Spanish speaking and writing is preferred.

WORKING CONDITIONS/PHYSICAL DEMANDS:
Works in an office setting.
Tasks require the ability to exert light physical effort in sedentary to light work.
Must be able to remain in a stationary position 50% of the time.
The individual needs to move about inside the office to access office machinery.
